Other invoice tasks

As you create an invoice, you can perform a number of other useful tasks.

Tag customers

You can tag customers by entering identifying text (“tags”) in the Tags field. Tags are a free-form way of categorizing customers. For example, you might enter a customer preference or note that this customer needs special attention. The tags you enter will appear beneath the My Address Book folder in the left navigation panel. Click a tag name to see all the customers with that tag. You can assign multiple tags to a single customer.

Create custom fields

You can create custom fields for your Address Book. You can add custom fields to a customer record for whatever purpose you want. For example, you might add a field to track customer birthdays. These fields are for your use only and do not appear on invoices.

Give a customer a discount

If you want to give a discount to a customer, just enter a discount % in the Discount field. The discount amount will be subtracted automatically from the total.

Charge and record sales tax

To add sales tax, you must flag at least one of the line items as taxable and then enter the rate in the Sales Tax field. The sales tax appears in a separate line item and is added automatically to the total. When you create a product or service, you can designate an item as taxable. You can set a default tax percentage in the Invoicing panel of the Settings page.

Attach a file to an invoice

You can attach any file to an invoice (up to 7 MB). If you e-mail the invoice, the attachment will be sent to your customer. Just click the link Click to attach a file, click Browse... to find the file you want to attach, and then click Attach.

Add a personal message to an invoice

Enter any personal message you want ("hope you like the guitar!") in the Invoice Notes area at the bottom of the invoice. This message will appear on the e-mailed invoice your customer can link to from the e-mail you send. If you want to make this a standard message to appear on all invoices, select the Save as my standard invoice notes checkbox.
